Aon Corporation Video Case Study: Simplifying Archiving and eDiscovery in the Cloud with Proofpoint

We had the chance recently to speak with Rob Franch, Senior Director for Unified Collaboration & Communications at Aon Corporation about his company's use of the Proofpoint Enterprise Archive cloud-based archiving solution. Aon Corporation is a Fortune 500 provider of risk, reinsurance and human resources services.

In this video case study, Rob discusses the business issues that led Aon to standardize on Proofpoint Enterprise Archive to email and other information produced by more than 60,000 employees across 120 countries worldwide. The deployment of Proofpoint was part of Aon's transition from Lotus Notes to hosted Microsoft Exchange and, in the process, Rob and his team greatly streamlined Aon's archiving infrastructure — replacing a variety of legacy systems including IBM Common Store and Symantec Enterprise Vault.

In addition to describing how Aon solved its archiving and eDiscovery challenges, Rob also discusses regulatory compliance, supervision, the partnership between Proofpoint and Microsoft, and his enterprise's ongoing relationship with Proofpoint.

My thanks, once again, to Rob for taking the time to share his story with us and to Aon Corporation for allowing us to share it with you!

Proofpoint Mobile Archive App: Now Available for BlackBerry Smartphones

For a while now, Proofpoint Enterprise Archive users with iOS or Android mobile devices have had access to a free, handy app — Proofpoint Mobile Archive — that lets them access their archived messages and perform archive searches "on the go."

Now, BlackBerry users (yes, there are still some of us out there) have a similar app for their devices. Get the brand new Proofpoint Mobile Archive for BlackBerry from BlackBerry AppWorld now.

This short video gives a quick overview of the new app:

Proofpoint Mobile Archive: Now Available for Android!

Iphone_android_archiveFrom the "you asked for it, you got it" department: Previously available only on the Apple iOS (iPhone, iPad) platform, our Proofpoint Mobile Archive app is now available for Android devices.

The Proofpoint Mobile Archive app lets users of Proofpoint Enterprise Archive (our cloud-based email archiving solution) access their archived email from anywhere, at any time. The app lets you search your entire email archive from your iPhone or Android device, allowing you to quickly find messages, view message details, and retrieve messages to your inbox.

The new Android version of this app is part of the latest release of the Proofpoint Enterprise platform (announced today in our press release here).

Mobility is a big theme of this new release and, in addition to the Android version of the Mobile Archive app, the release includes enhancements to Proofpoint's support for mobile email encryption and decryption (which were already very strong). The enhanced mobile decryption user interface takes advantage of the latest smartphone and tablet technologies to display a web interface that looks and feels like a native application, making it even easier for Proofpoint Encryption users (and any recipient of a Proofpoint-encrypted email message) to decrypt, read, and respond from mobile devices.

This video overview demonstrates the iPhone/iOS version of the Proofpoint Mobile Archive app, and how it enables anytime/anywhere access to archived messages:

This next video demonstrates the previous version of the "decrypt assist" features of Proofpoint Encryption, which allows any email recipients on any mobile smartphone or tablet with a web browser (including Android, BlackBerry, iPhone and Windows 7 Phone) to easily decrypt and respond to messages encrypted with Proofpoint Encryption:

And while it's not part of today's announcement, I wanted to remind Proofpoint Enterprise administrators that our Proofpoint Mobile Dashboard app (currently available for Apple iOS devices) gives you access to global spam stats, the status of your support tickets and other information on your Proofpoint Enterprise deployments:

Gartner 2011 Magic Quadrant for Enterprise Information Archiving Available from Proofpoint

Gartner-Email-Archiving-Magic-Quadrant-Enterprise-Information-Archiving-2011

In a press release issued today, Proofpoint announced that it has been positioned by Gartner, Inc. in the 2011 "Magic Quadrant for Enterprise Information Archiving."

You can read the entire report, compliments of Proofpoint, by visiting:

http://www.proofpoint.com/email-archiving-magic-quadrant

Writing in the Magic Quadrant for Enterprise Information Archiving, Gartner analysts Sheila Childs, Kenneth Chin and Debra Logan note that:

"The interest in archiving data using cloud or software as a service (SaaS) solutions has intensified," noting further that, "This deployment model is rapidly evolving, and organizations now have solid options for on-premises and SaaS or hybrid solutions. Hybrid solutions consist of some component (usually an appliance) that resides on-premises that can provide additional processing prior to sending data to the cloud, such as bandwidth throttling, encryption or data reduction. In addition, hybrid solutions can provide tight integration with Active Directory or the email system."

Gartner's Magic Quadrant report describes Enterprise Information Archiving (EIA) as follows:

"EIA is the next step in the evolution of archiving that incorporates new products and solutions for archiving user files (email and files on file shares) and, optionally, other content types such as instant messages, structured data and social media content. These products provide features such as data deduplication across content types, retention management, content indexing and at least basic tools for e-discovery, such as search and legal hold. Due to the complexity associated with managing multiple data types within an archive, EIA may more broadly encompass capabilities like federated archive repository management, while delivering common policy management for migration, retention and discovery."

Live this Wednesday: Mitigating Security Concerns about Cloud Archiving and eDiscovery

Our live web seminar series continues this Wednesday, October 12th, 2011 with "Mitigating Security Concerns about Cloud Archiving and eDiscovery."

Resident cloud archiving and eDiscovery expert, Andres Kohn, explores the risks and concerns you should consider when moving archiving and eDiscovery functions to the cloud.

IT departments are moving quickly to the cloud – enabling organizations to operate more quickly and more nimbly, and at a lower cost. However, this trend can raise a new set of concerns over how the organization should manage in-house eDiscovery processes and minimize risks.

As Andres has said on many occiasions, "Not all clouds are created equal..." and, in some cases, cloud computing can make the search, collection, and preservation of ESI more complex, time-consuming, and difficult, with much of the burden falling on the IT department.

During this web seminar, Andres will help answer key questions around these trends, including: How concerned should you be? And how can you minimize these risks while reaping the benefits of cloud computing?

Video: Email Archiving and eDiscovery for Legal, Steven Heller of Graubard Miller

Earlier this year our friend Steven Heller, director of IT for New York-based law firm Graubard Miller, kindly sat down with me to explain how his organization uses our hosted email archiving solution, Proofpoint Enterprise Archive, to reduce the size of their Microsoft Exchange email store, simplify (and speed up) electronic discovery and save time and money in the process.

Steven and his firm have been using Proofpoint's email archiving service for several years now (first purchasing the product when it was known as Fortiva, before that company's acquisition by Proofpoint) and he continues to be a very vocal supporter.

In this short video, Steven talks about the issues the firm had with email retention prior to Proofpoint and explains what he likes about Proofpoint's solution:

Steven will be presenting "How to Save Hundreds of Thousands on eDiscovery," an educationalcase study on email archiving and eDiscovery at the MIS Training Institute's upcoming IT Governance, Risk and Compliance event (co-located with Audit World 2011) at the Hilton Boston Back Bay on September 20, 2011.

He'll also be presenting a similar case study at Computerworld's Fall Storage Networking World 2011 event (October 10-13, 2011 in Orlando, Florida). If you're attending either event, make a point of attending his sessions - he's a great presenter and very knowledgeable about these topics.

We also recently published a short PDF case study on Graubard Miller that you can find here:

Thanks again, Steve, for taking the time to chat with us and for your ongoing support!

Talking FISMA, Cloud Computing and Secure Messaging: Proofpoint and Proofpoint Customers in the News

A couple of recent news items I wanted to point out in case you haven't seen them.

First, our VP of Technology, Andres Kohn chatted with security blogger Alan Shimel for his ashimmy blog Security.EXE podcast. Andres and Alan talk about Proofpoint's work with Microsoft on what might be the biggest federal deployment of cloud technology to date (at the USDA), FISMA compliance and the ongoing battle between Microsoft and Google for cloud dominance.

You can also listen to that segment right here:

Next, Proofpoint customer Kelsey-Seybold Clinic of Houston, TX is included in a recent Healthcare Informatics feature, "Secure Messaging via the Cloud and Mobile Devices." In that article, Martin Littmann, director IT systems for Kelsey-Seybold, briefly describes how that healthcare system uses Proofpoint's SaaS email security and data loss prevention solutions to help ensure the security of sensitive data.

Finally, we recently published a new customer case study on Adventist Health, a large California-based health system, that uses Proofpoint's cloud-based solutions for email security, HIPAA compliance and data loss prevention. Download a PDF copy of "Adventist Health gives Proofpoint's cloud-based email security solution a clean bill of health."
